A fantastic opportunity has arisen for a motivated and enthusiastic Logistics Event Lead to join one of our successful teams. This role will be integral to delivering an ongoing programme of work for a luxury automotive client. 

Reporting to the  Logistics Director, the successful candidate will lead and oversee a logistics event team of 4, delivering a range of projects. Key responsibilities will include managing and maintaining the account on a day-to-day basis whilst continuing to build the relationship.

Roles and Responsibilities:

  • Supporting the Head of Guest Management with the overall management of the client portfolio from event brief, onsite delivery and event reconciliation.
  • Taking ownership of the delivery of the Client’s internal events planning, training, customer visits and some launch activity.
  • Build and maintain strong client relationships through efficient account management.
  • Traffic management of incoming briefs, allocation of work across the logistics team and onsite delivery.
  • Client and stakeholder handling.
  • Respond to client briefs as per the agreed SLA
  • Management of client budgets in line with agreed project costs.
  • Manage an event logistics team of 4 staff.
  • Development and training of an event logistics team.
  • Providing support to the Head of Guest Management with building and developing internal processes and efficiencies.
  • Overall management of budgets within the team including client estimates, payment schedules, reconciliations, invoices and savings – all in line with internal and client processes.
  • Work closely and maintain strong relationships with other agencies and third-party suppliers.
  • Attendance and on-site management of the hands-on site inspections and events themselves, locally, within the UK and occasionally globally, ensuring the smooth and successful delivery.
  • Follow through with on-site / event delivery where required.
  • Fulfilling the role in compliance with company policies and procedures, for example (but not limited) ISO documentation, Information Security Training, Health etc.
  • Any other requirements that the Head of Guest Management may need support with to assist the company in its day-to-day operations and delivery of events.

Experience and Skills required:

  • Strong experience of managing global corporate events, ideally launch events, multi-stakeholder events, internal C-Suite level events.
  • Knowledge of the Automotive Industry would be invaluable.
  • Current knowledge of the events industry; hotels, venues, caterers, transportation etc.
  • Previous experience of managing a team.
  • Strong financial management of small to large-scale event-related budgets in multiple currencies.
  • Proven competency in commercial processes – e.g. negotiating, contracting, resourcing.
  • Relevant knowledge of client brands, products and competitive environment would be useful.
  • Ability to produce, present and communicate proposals, presentations, budgets and documents to clients in an articulate manner.
  • Extremely organised with the ability to prioritise work and deliver under pressure
  • Meticulous attention to detail with the ability to refine and improve departmental processes.
  • Strong delegation and negotiation skills.
  • Be an intelligent, ambitious, highly motivated team player, with a commitment to quality, client satisfaction and professionalism.
  • Enthusiastic with willingness to work unsociable hours (inc. weekends) as required
  • Able to travel globally and stay away from home when delivering events
  • High proficiency in Microsoft Word, Excel, PowerPoint, Googledocs and Microsoft Teams.
  • Fluency in additional European Languages would also be a significant benefit but not essential.
  • Full/Clean UK Driving license as well as be a confident driver.
