Are you passionate about creating inspiring spaces and unforgettable first impressions? At Imagination, we’re looking for a proactive, people-focused Office Experience Manager to be the heartbeat of our Sydney Office.

The role is a part time, office based role and working days will be Tuesday to Thursday –  (Office hours can be flexible and adhoc hours on Monday pending requirements)

Sitting at the core of our operations team, you’ll play a vital role in keeping our office running like clockwork. From smoothing out the small details to orchestrating studio-wide moments that inspire, you’ll be the key connector across our creative, production, and client service teams. Your superpower? We’re seeking a highly organised, resourceful, and solutions-oriented individual who excels in a fast-paced, collaborative environment. Key Responsibilities

  • Oversee the daily operations of the Sydney studio to ensure a smooth and efficient working environment.
  • Greet, sign in and manage visitors, vendors, and deliveries while upholding Imagination’s professional and friendly studio presence.
  • Maintain office and kitchen supplies, manage stock levels, and coordinate procurement.
  • Ensure daily that all studio spaces (meeting rooms, workstations, breakout areas) are clean, tidy, and fit-for-purpose.
  • Act as Health & Safety Representative and First Aid Officer (training provided if required).
  • Coordinate facilities maintenance, liaising with landlords and service providers to address any building issues or improvements.
  • Manage relationships with suppliers and contractors, ensuring value and service quality.
  • Support leadership and HR teams with onboarding processes, desk assignments, and space planning.
  • Assist with travel coordination, meeting logistics, and other administrative tasks.
  • Collaborate with IT to ensure smooth tech operations in shared spaces.
  • Manage building access, security processes and emergency protocols.
  • Design and implement initiatives that enhance employee engagement and workplace culture.
  • Organise and manage internal events, wellbeing initiatives, celebrations, and team-building activities.
  • Maintain up-to-date studio policies, office manuals, and emergency response procedures.
  • Process studio-related invoices and support budget tracking alongside the Operations Lead.
  • Assist in implementing sustainability within the workspace.
  • Support Leadership Team with expenses and administrative tasks.
  • Manage the office offsite storage facility.

Skills, Knowledge and Expertise

Prior experience as an Office Manager, Facilities Coordinator, or similar administrative/operational role.

●  Exceptional organisational and multitasking skills with a keen eye for detail.

●  Ability to communicate clearly and effectively across all levels.

●  Skilled in managing vendor relationships and studio services procurements

●  Familiar with managing workplace safety, compliance, and emergency procedures.

●  Comfortable working in a creative agency or fast-moving studio environment.

●  Proficient in Microsoft Office Suite and Google Workspace (Docs, Sheets, Calendar).

●  Strong sense of initiative with the ability to foresee and resolve issues before they arise.

●  Enthusiastic about workplace culture and enhancing employee experience.
