Event Logistics Executive – 1 year FTC

Overview

Our live event offering creates big ideas that harness culture to make brands more relevant. Event logistics is an integral team within our Live Production multi-discipline department of experts in their fields.

This role will provide office and on-site support for the delivery of the logistical / guest experiential requirements of a wide variety of live events.  Build knowledge through exposure across projects, undertaking a variety of placements and supplemented by targeted programmes of mentoring and developments. 


Key Responsibilities

  • Provide support with the development of timelines, feasibility studies and delivering project detail
  • Research for projects, compile and present findings
  • Support development and delivery of pitches and associated work
  • Support internal project communication and documentation
  • Provide team administration support including expenses, freelancer invoices and purchase order management.
  • Under supervision, manage project feedback and maintain the event logistics database of suppliers
  • Understand GDPR implications and handle all personal information in a compliant way.
  • IT related support e.g. new starter tickets, IT account, building passes, arranging laptops /kit requirements on-site
  • Arrange logistics discipline meetings, set agenda, manage contact reports and follow up actions
  • Ensure that tasks are delivered within the timeframe agreed


Skills, Knowledge & Expertise

  • Relevant experience in the hospitality & travel industry.  
  • Basic understanding of travel, hotel, catering, live event operations.  
  • Basic understanding of AV presentations
  • Understanding of budgeting process.  
  • Experience with Microsoft Office Suite of programs
  • Support and work as part of a team, with a commitment to quality and professionalism; learn and develop a growth mindset
  • Build rapport with project teams and have a positive ‘can-do’ attitude 
  • Be extremely organised with meticulous attention to detail
  • Contribute to and produce working documents e.g. schedules, itineraries, client presentations
  • Have the ability to deliver under pressure and multi-task
