Overview

As the Talent Acquisition resourcer you will be working to allocate internal resource and source known external freelancers when no internal resource is available. You will work closely with the Junior Admin and Resource Assistant to manage resources at Imagination. You will also act as a mentor for them and develop their knowledge when it comes to finding suitable internal and external resource for projects. You will report into the Business Director. The role will also include providing administrative support across your team utilising tools including Google suite, Hubplanner, Worksome, Maconomy. Creative Agency experience is essential.


Key Responsibilities

Team resourcing and administration (approx 90% of working week)

  • Manage all resource requests within our Resource Management System, Worksome
  • Obtain the relevant information from freelance briefs  “FL Brief, FAF & IT Ticket Email Template” provided by Project Leads, using effective questioning in order to make meaningful suggestions for resource requests
  • Develop an understanding of all projects within the team, to aid understanding of the resource requirements 
  • Develop or show a good understanding of the various expertise and people used across projects to help deploy people so they are best utilised. 
  • Source people to fill positions, initially internal resource and next search our database to find known freelancers to undertake freelance positions
  • Work with P&C where a wider net needs casting to fill available positions
  • Assign resources in consultation with the Business Director, Project Leads and Discipline Leads
  • Adjust resource assignments based on changing deadlines and workload. This includes making adjustments to each project schedule and overall workload as and when a project demands change
  • Coordinate with the Business Director and Finance Director on all external freelance requirements in order to obtain approval
  • Monitor billable hours and utilisation using Maconomy reporting tools
  • Own Worksome workflow and all Freelance Admin
  • Key liaison between legal and the Account Teams for contractor Non-Disclosure Agreement requests
  • Work with IT in order to manage the onboarding process for all new starters (freelance)
  • Support freelancers / contractors with any queries they may have
  • Pro-actively contribute to Imagination’s cultural initiatives
  • Provide flexible support on administrative tasks within the team
  • Providing accurate updates and managing Hub Planner for an internal resource request 
  • Timesheet Tracking for Imagination employees 
  • Liaise with Legal to create NDAs for freelancers when necessary 
  • Onboarding New Permanent staff with the relevant information including timesheets, Maconomy, Hubplanner. 
  • Create reports from our software platforms Hubplanner and Worksome to provide meaningful insights

Cultural support (approx 10% of working week)

Support the Administration Manager & Personal Assistant with Cultural activities within the business.

  • Pro-actively contribute to Imagination’s cultural initiatives
  • Supporting with New Starter Onboarding (Permanent) / Ordering and providing the Welcome Kit
  • Supporting with Milestone Life Event Gifts (e.g. baby etc.)
  • Supporting with Leaving Cards / Presents / Drinks
  • Supporting with Company Drinks / Socials

Skills, Knowledge & Expertise

  • Freelance recruitment experience (Resource Management or Freelance internal Recruiter)
  • Creative Agency experience
  • Highly organised with exceptional attention to detail
  • Proactive, self-motivated with a can-do attitude
  • Multi-tasker, with effective time management skills
  • Solutions-focused; creative / lateral thinker / problem solver
  • Ability to take briefs with Project Leads and translate into effective freelance searches in Worksome
  • Effective interviewing skills
  • Good negotiation skills
  • Mentoring and has the ability to develop others (preferred)
  • Calm under pressure
  • Approachable with a team oriented personality
  • Good written and verbal communication skills
